Procedure of Getting a Duplicate Share Certificate of a Co-operative Society

A share certificate is issued by Society to the rightful owner in the cooperative society at the time of society formation. It has a unique number that indicates the name of the member, the number of shares issued, and the value paid. With the change in ownership, the share certificate is transferred to the new owner.

 

  • When Share Certificate is lost/stolen ;

Cooperative Society Act, Rules or Byelaws does not specify the process to be followed by Society / Member in case the share certificate is lost. Here, We explain a list of documents to be submitted by members and the process to be followed by the committee for issuance of the Duplicate Share Certificate of the Cooperative Society.

    1. The Member should
      • File FIR and
      • Give public notice in News Paper (Min. 2 Papers)
    2. The Member should submit the following Documents to the Society 
      • Request Letter
      • Copy of FIR
      • Copy of notice in News Paper
      • Indemnity Bond on Rs. 300 stamp paper
      • Sale Deed / Index copy
      • Photocopy of old Share Certificate, if available
      • ID Proof and Address proof of member
      • Cheque of duplicate Share Certificate issuance charges
    3. The Society / Managing Committee
      • Wait for 15 days from the Public Notice
      • Verify the documents submitted by the member
      • Pass a resolution in the committee meeting for the issuance of a Duplicate Certificate
    4. The Society / Managing Committee
      • The new certificate is issued to member with the same details as the original certificate
      • It is stamped with Duplicate Stamp
      • File the documents received from member for future reference

  • When Share Certificate is soiled, burnt, torn, or disfigured ;

    1. The Member should submit the following Documents to the Society 
      • Request Letter
      • Original Share Certificate
      • Indemnity Bond on Rs. 300 stamp paper
      • Sale Deed / Index copy
      • ID Proof and Address proof of member
      • Cheque of duplicate Share Certificate issuance charges
    2. The Society / Managing Committee
      • Verify the documents submitted by the member
      • Pass a resolution in the committee meeting for the issuance of a Duplicate Certificate
    3. The Society / Managing Committee
      • The new certificate is issued to member with the same details as the original certificate
      • It is stamped with Duplicate Stamp
      • File the documents received from member for future reference
